Attend to the necessary upon receipt of instruction from the Estate agency, namely contacting clients for FICA documents and introducing self as their reliable contact person for the duration of the transfer. Send out formal letter to clients and all parties involved assuring that every query will be dealt with efficiently and professionally.
Send out weekly reports on the progress of the matter. Request bond cancellation figures should there be an existing bond over the property. Follow up on suspensive conditions as per agreement if applicable (Deposit, Bond, Subject to sale). Once suspensive conditions have been met, draft transfer documents for signature by both parties (Seller & Purchaser). Bond attorneys are then appointed by the bank. Provide bond attorneys with Draft deed, guarantee requirements, electrical compliance certificate, details of body corporate, NHBRC certificate and certificate confirming purchase price, for them to obtain a proceed from the bank. Request rates clearance figures from the municipality and levy clearance figures from the homeowner’s association or body corporate of the property.
Once all relevant documents have been signed and clearance certificates have been received, compile and draft documents to be lodged at the relevant deed’s office (draft deed, conveyancer certificate). Arrange with the bond cancellation attorneys and bond attorneys for lodgement of the documents at the relevant deed’s office.
Once all the linking’s are ready to lodge, send the simuls list documents to the deed’s office for lodgement.
Load the barcode on the cover of the documents on the system in order to track the progress of the transfer in the deeds office. The matter then undergoes stages and levels within the deed’s office, namely Lodged, On Preparation and Registered. Liaise with the attorneys again when the matter is on preparation to put forward for the matter to be registered in the deed’s office. Once the matter has registered, do the finances, where she balances the accounts according to what was paid in and what was paid out of the file account. Pay out what is due to the seller, purchaser, estate agent and any other parties involved which need to be paid. Follow up on the original title deed and send same to bond attorneys / purchaser upon receipt. Archive the file.
Relevant Qualifications will prove an advantage but not essential if well-experienced in Transfers.
Minimum 5 Years of experience within same role. Able to work well independently and support the team of 3 conveyancers. Ability to run many files at a time. Great interpersonal and communication skills. Ability to build relationships with Estate Agents. Strong Computer Literacy skills.
