Job Description

-With a minimum of 10 years experience in a 5 Star Resort – 

Functions & Responsibilities:                

Look after guests throughout their stay and ensure they leave with good memories of the property and the people, Support all departments from FOH, F&B, Housekeeping, Activities and Maintenance to ensure a seamless guest experience, Regularly check the condition of the guest rooms and front of house areas and report any works needed to the maintenance department and follow up to ensure the product is at its best at all times and meeting guest expectations, Have a complete picture of guest requirements and likes and dislikes to advise the team and plan for them accordingly, Be the person they know they can ask for advice on the area, or run to first with a problem or issue, Review guest pre arrival questionnaires and Google guests for further information, Ensuring that guest arrivals and departures run smoothly, Check arrival rooms, ensure/assist with correct room and host allocation,  Welcome drinks and towels Check guest bills and help to prepare, Notes to rooms (arrival, departure, other special one-off notes), Check departure rooms for missed items, Co-ordinate guest transfers with helicopter pilots/boats, Co-ordinate and plan any group arrivals and departures and their itineraries, Assist with and co-ordinate trade and press site inspections, Co-ordinate and plan PCR testing and onward travel arrangements if necessary, Planning the best activities to fit their schedule (allowing for weather and tides), in coordination with other relevant departments and managers, promoting the activities on offer, Creating “wow” experiences and activities for guests, General office duties to assist the FOH team, including using Hotsoft/Panstrat for Guest Bills and updating the Day Sheet, Prepare the day sheets up to a minimum of a month in advance, using the information provided in Eres and from the Pre Arrival Questionnaires which are completed by the guests, Update team at morning briefing on guest information, Along with the rest of the FOH team, checking in on guests at meal times, Ensure meal/drinks service is timeous, especially breakfast service, Ensure menus are correct according to guest dietaries and distribute daily, Assist with stock takes, ordering and procurement of liquor store and other departments if required, Hosting guests in the Star Bar from 06:30pm until guests go to dinner,  Work closely with Spa and Activities managers to plan the following day’s activities, Plan and conduct group and function rundown meetings, manage groups with the group leader, Pay particular attention to the hosting of trade agents and press,  Create itineraries for the duration of their stay to include: island drive, dhow cruise, island hop, massage and site inspection, Assist with the monitoring and running of Whatsapp groups including but not limited to sending pre-arrival information, sending menus, answering any guests questions, closing down group appropriately, Assist with social media, assembling photography as required, posting when asked to, managing responses as needed, Cover of Retreat Manager whilst she is on leave.

 

Qualifications

  • Matric
  • Diploma in Hospitality Management

Skills

Microsoft office, understanding of POS systems such as Hotsoft/Panstrat, A minimum of 10 years experience in similar role in a 5 star resort or  private retreat.
