Our client is in the Interior Design and Architect industries and is based in Cape Town.

Job Description

  • implementing and maintaining admin procedures/office administrative systems
  • Basic front desk responsibilities incl. managing pabx system; handling courier deliveries and collections; relaying messages; communicating studio alerts to staff; set up OOO for all; etc
  • Maintaining IT & AV hardware and software and liaising with outsourced IT support team to ensure all systems are running smoothly to ensure productivity
  • Managing a range of design software packages (autocad; enscape; sketchup; revit; adobe programmes; etc
  • Organising boardroom meetings and catering
  • Maintaining upkeep of studio furniture
  • Assisting with employment equity submissions
  • All travel arrangements for staff
  • Overseeing cleaning staff
  • Receiving and issuing deliveries  & couriers
  • Ordering stationery and managing office storage
  • Organising induction programmes for new employees
  • Ensuring that health and safety policies are up to date
  • Minuting weekly status meetings with design team
  • Assisting the organisation’s HR function by keeping personnel records up to date, arranging interviews and so on.
  • Studio security: managing keys; opening and closing procedures; alarm systems; etc
  • Collating of staff timesheet information and issuing to financial manager
  • Manage and update asset register for insurance purposes

 

Qualifications

  • Matric
  • Diploma in Business Administration or Secretarial Diploma or similar

Skills

  • Strong organisational skills
  • Strong IT skills ( MS Office; Autocad; enscape; revit; adobe programmes
  • Strong communication, negotiation and relationship - building skills.
  • Knowledge 0f Interior Design software

Salary / Package

R15K - R18K CTC only
