Inbound Tour Operator in JHB North

Job Description

  • Assist with annual allocation requirements, costings, itineraries, tour manuals, timed itineraries, extra services, upgraded documentation and any other documentation, etc. required by the agent.
  • Prepare accurate quotes in either excel or Travel Studio in line with the company’s margin strategy.
  • Prepare & plan creative itineraries relevant to the specific market working closely with the Groups Manager and Product Teams.
  • Keep agents and Sales Directors updated on progress and developments.
  • Build relationships with agents and Sales Directors
  • Attend & set up sales calls with agents and Sales Directors
  • Ensure accommodation, guides, restaurants, flights, coaches, and other services are booked in good time.
  • Negotiate rates, terms and conditions and release periods for groups.
  • Secondary buying to increase operating margins.
  • Release reservations/allocations in good time to avoid paying cancellation charges.
  • Problem solving, rotate itineraries, alternate nights, offer suggestions to improve itineraries and logistics.
  • Ensure that properties offered are relevant to the specific market.
  • Liaise with clients on best alternatives.
  • Issue Pro Forma invoices on confirmed bookings and Collect deposits from clients for confirmed bookings.
  • Ensure any supplier deposit and pre- payments are diarised and actioned.
  • Create an agent statement to reflect the value of the booking, deposits received and outstanding payments due from the agent.
  • Ensure the Operations team receive a timeous hand-over.
  • Load bookings in Travel Studio as required, balance bookings and invoices files as required.
  • Ensure suppliers receive timeous payments as required.
  • Operate Groups in accordance with company requirements as required.
  • Assist with logistical problems to accommodate bookings as required.
  • Ensure timeous booking of touring services as required.
  • Ensure guest documentation is prepared in line with standards and processes.
  • Ensure all Guides on escorted tours receive briefing sheets and complete Guide Questionnaire/Report Back.
  • Ensure all VIP files are handled as per company policy and the General Manager is made aware of visits in good time and the special value adds are implemented.
  • Manage reservations / allocations into e-Res according to company processes.
  • Resolve all customer service issues (pre/during/post tour). Ensure the Client Services Manager, Line Manager, General Manager are kept informed.
  • Welcome and escort Groups on Inspections trips as required.
  • Maintain 24-hour turnaround times.
  • Resolve problems.
  • Attend Welcome Dinners/functions with Agents/Guests.
  • Manage the emergency cell phone as required.
  • Maintain a good Consultant/office relationship.
  • Host/travel with Clients as directed by the Line Manager.
  • Maintain and develop close work relationships with International Sales office.
  • Meet Guests at hotel/airport as required ensuring that personal service is provided.
  • Handle proposals and front-end communication with Agents and Guests
  • Assist in closing sale of each request.

Qualifications

Travel diploma

Skills

Reservations and handling MICE bookings in a tour-operating environment and the writing of own itineraries for Incentive Groups for a minimum of 5 years. Creative itinerary design, quoting & sales. Excellent relationship building skills. Experience in hosting MICE and Incentive Travel Groups. Team- work and be able autonomous when required. Good product knowledge of Southern Africa. Office/administration skills. Understanding of on the ground operations and excellent quality control. Good English communication verbal and written.
